About this role

The EHR Specialist / Scheduler is responsible for effective utilisation of electronic health record (EHR) systems and coordinating patient scheduling to ensure efficient clinical operations, accurate documentation, and a positive patient experience. This role supports clinicians and administrative staff by maintaining data integrity, optimising workflows, and ensuring appointments are scheduled accurately and in compliance with organisational and regulatory standards. Key Responsibilities EHR Management Maintain and update patient records within the EHR system, ensuring accuracy, completeness, and confidentiality Perform data entry, validation, audits, and corrections as required Configure and maintain scheduling templates, provider calendars, and visit types within the EHR Support EHR upgrades, system testing, and workflow enhancements Troubleshoot basic EHR issues and liaise with IT or vendors for complex system problems Train and support staff on EHR best practices, documentation standards, and workflow efficiency Scheduling & Appointment Coordination Schedule, reschedule, and cancel patient Radiology appointments in accordance with clinical priorities and service-level targets Coordinate appointments across multiple providers, locations, and service lines Manage waiting lists and optimise appointment utilisation to reduce no-shows and gaps Verify patient demographics, referral information, and appointment requirements Communicate appointment details clearly to patients, including preparation instructions when required Compliance & Quality Ensure EHR and scheduling processes comply with GDPR, data protection, and healthcare regulations Maintain confidentiality and security of patient information at all times Support audits, reporting, and data extraction as needed Identify opportunities to improve scheduling efficiency and EHR usability Collaboration & Support Work closely with clinicians, administrative staff, and management to support daily operations Act as a liaison between clinical teams and IT/EHR vendors Provide administrative coverage and support during peak periods Required Qualifications & Experience Proven experience working with an Electronic Health Record (EHR) system in a healthcare setting Previous experience in medical scheduling, healthcare administration, or clinical support Strong understanding of patient confidentiality, data protection, and healthcare workflows Excellent organisational and time-management skills High attention to detail and data accuracy Proficient in Microsoft Office and healthcare IT systems Desirable Skills & Experience Formal qualification in health information management, healthcare administration, or a related field Experience supporting EHR implementations or system upgrades Familiarity with outpatient, primary care, or hospital scheduling models Experience running reports and analysing scheduling or activity data Hours: 37 hours per week Career level: Experienced [Non-Managerial] Closing date: 22 May 2026
